The Data Boxes system (ISDS) is well known nowadays. As well as one of its biggest limitations of 90 days, after which all messages are deleted. The Czech post prepared additional service called Data Safe, which can help you.
Many companies use it to solve their archiving needs, but they don't realize that there are different solutions as well, which can be even cheaper and better at the same time.
The Data Safe service, according to all indications, only guarantees the preservations of a specific number of messages. They never speak about more important problem as is their longtime legal validity. The claim of the Ministry of Interior, that what once passed through the Data box is eternally valid, doesn't have to be true according to many experts (see the articles from Mr. Peterka on the Lupa server for example, specifically the Data Boxes: stamps are needed! - only in Czech).
Another disadvantage of the Data Safe is its limitation on the number of messages according to the fare paid. If you exceed the number and don't pay for bigger tariff, the oldest messages will be automatically deleted. And it can happen quite easily.
The correct answer are time stamps, that show that a document existed at a time when it was subjected to an independent authority. Even timestamps, however, are limited in time and so you must mark your documents regularly. This is still cheaper than the charges for the Data Safe.
We expanded the support for time stamps and electronic signatures in our Data Boxes module. This optional extension of this module provides automated validation of electronic signatures when receiving data messages, adds the timestamp (if not already) and monitors their validity, including the automatic renewal.
Deploying this module including said extension you can be sure of long-term validity of the documents received through the Data Boxes. You can also address long-term validity of any other documents in your company (such as scanned contracts or invoices).
